If you have experienced one of the below Qualifying Life Events (QLE), you may be eligible for a special enrollment period, allowing you to enroll in coverage outside the Annual Open Enrollment period. You will be required to provide evidence (listed below) of your life event in order to make a change to your benefits.


Changes to benefit elections due to a QLE must be entered into Workday within 30 days of the event date. If changes are not entered within 30 days of the event, you will have to wait until the next Annual Open Enrollment period to make changes.

Qualifying Event Types

  • Birth / Adoption of Child / Legal Guardianship of Child

    • Evidence: Copy of Birth Certificate, Hospital Discharge Paperwork, Court Records, or Adoption Decree

  • Death of Dependent

    • Evidence: Copy of Death Certificate

  • Divorce

    • Evidence: Copy of Finalized Divorce Decree

  • Marriage

    • Evidence: Copy of Marriage License

  • Spouse or Dependent Loses or Gains Coverage

    • Evidence: Proof of the termination of creditable coverage along with date of termination, type of coverage terminated, and covered dependent names

      • Letter from spouse/dependent's former employer/HR department

      • COBRA Enrollment Letter

      • HIPAA Certification

    • Evidence: Proof of new eligibility under a spouse or dependent's plan along with the date of new coverage, types of coverage and covered dependent names

      • Letter from spouse/dependent's new employer/HR department

      • Copy of insurance cards that list covered persons, type of coverage, and coverage begin date

      • Spouse/dependent's benefit statement displaying covered persons, type of coverage, and coverage begin date


Consistency Rule

You are permitted to make changes to your benefit elections with any of the life events identified above. However, the change must (1) affect your eligibility for coverage under Catalina's plan and (2) the requested changes correspond with the change in status event.

For example - in the case of divorce, you can drop your former spouse from the dental plan. However, you cannot drop the dental plan entirely. If the IRS consistency rule is not satisfied, you will not be allowed to make a mid-year change.


Making Changes in Workday

If you experience one of the QLEs above, be sure to obtain the evidence listed, log-in to Workday, and follow the steps below to make changes to your benefits.

  1. Go to the Benefits & Pay App from the Workday Home Page Menu.

  2. From the Overview, choose the button for “Change Benefits.”

  3. Choose your Change Reason that corresponds with your QLE.

  4. Enter the Benefit Event Date (if losing coverage elsewhere, this date should be the first day of no coverage)

  5. Attach your supporting documentation (see list of acceptable evidence above).

  6. Submit your benefit change event. The process will then be sent to Catalina Benefits for verification.

  7. Once approved by Catalina Benefits, you will receive the task back in your My Tasks box to make changes to your plans next.

  8. After making the appropriate changes to your benefits, be sure to submit and then print and/or save your Benefit Statement for your records.
